Our initial counselling or information service may be offered free of charge. When a service is paid, the invoice, receipt, proposal or written service confirmation should identify what is included. Those specific written terms and this policy should be read together.
1. Scope of this policy
This policy applies only to fees paid directly to ChhatraBandhu Academy for a clearly identified service. It does not control fees collected by a college, university, examination authority, payment platform, lender, hostel, transport provider or any other third party.
Where a signed agreement, invoice or written package confirmation contains a specific cancellation or refund term, that specific term will apply to the relevant service to the extent permitted by law.
2. Free counselling and free services
No refund arises for a service provided without charge. A complimentary consultation, information call or free counselling session does not create any right to admission, scholarship, seat reservation, employment or a particular result.
3. Cancelling a paid service
You may request cancellation by email or WhatsApp using the official contact details below. To avoid delay, include the student’s name, registered phone number, payment date, amount, transaction reference, service purchased and reason for cancellation.
Unless a different written term applies, a cancellation request should be sent within 7 calendar days of payment and before substantial work has started. Submitting a request does not by itself guarantee a refund; eligibility depends on the service status and costs already committed.
4. When a refund may be available

5. Non-refundable amounts and situations
Unless required by applicable law or expressly agreed in writing, the following are generally not refundable:
- Fees for counselling, document review, application preparation, form submission, follow-up or other work already completed.
- Non-recoverable taxes, payment-gateway charges, convenience fees, bank charges, courier charges or third-party costs already incurred.
- Amounts paid to reserve professional time after the scheduled session has been completed or missed without timely notice.
- Fees where the student supplied inaccurate or incomplete information, failed to provide documents, missed a deadline, did not participate in the process or became ineligible.
- Fees merely because a preferred institution rejects an application, changes its schedule, closes admission, does not allot a seat, changes eligibility or does not provide a desired result.
- Payments made to an unauthorised person, account or channel not officially confirmed by ChhatraBandhu Academy.
Guidance and application assistance are services of effort and support; they are not a guarantee of admission, visa, scholarship, placement, salary, licence, recognition or any other outcome.
6. College, university and third-party fees
Application fees, registration fees, tuition fees, admission deposits, examination fees, hostel charges, counselling fees and other amounts paid to a college, university, authority or third party are governed by that organisation’s own policy.
If we assist in transmitting a third-party payment on your express instruction, the recipient’s refund rules apply. We cannot promise or issue a refund on behalf of another organisation. We may provide reasonable assistance with a genuine request, but the final decision remains with the recipient.
7. How to request a refund

- Provide the student’s name, registered contact number, payment proof, transaction ID, amount, date and service name.
- Explain the reason and provide any supporting document reasonably requested for verification.
- Do not share an OTP, UPI PIN, card PIN or password. Refunds do not require these credentials.
We may contact you for clarification. Incomplete or unverified requests may take longer to assess.
8. Review and refund timeline
We normally aim to acknowledge a complete request within 3 business days and communicate the decision within 7 business days. Complex cases involving an institution, payment provider or disputed service scope may take longer.
Approved refunds are normally initiated within 7–14 business days after approval and, where practical, sent to the original payment method. The bank or payment provider may require additional time to credit the amount. Any stated timeline excludes bank holidays and delays outside our reasonable control.
9. Rescheduling, substitutions and service changes
Where practical, we may offer rescheduling, correction, an alternative counsellor, credit toward another suitable service or completion of the remaining work instead of cancellation. You are free to accept or reject an optional alternative.
If an institution changes dates, eligibility, fees, seat availability or rules, we may help you understand available options, but such a change does not automatically make our completed work refundable.
